2. Information We Collect

2.1 Account Information

• Full name and email address.
• Company name, job title, and industry sector.
• Password (stored in hashed, irreversible form).

2.2 Usage and Platform Data

• Documents generated within the platform, including your inputs and generated outputs.
• Log data: IP address, browser type, device type, pages visited, and session duration.
• Subscription tier and billing history. Payments are processed by a PCI-DSS compliant third-party payment provider and we do not store full card details.

2.3 Communications

• Messages you send to our support team.
• Feedback and survey responses, if you choose to provide them.

We use essential cookies to maintain your session, and analytics cookies with your consent to improve the platform. See Section 9 for detail.

3. How We Use Your Information

• To provide the service. Your account data and document inputs are required to generate, store, and retrieve your compliance documents.
• To process payments. Billing information is required to manage your subscription.
• To send transactional communications. Receipts, password resets, and important service notices.
• To send product updates. With your consent, we may email you about new features and legislation updates. You may unsubscribe at any time.
• To improve the platform. Anonymised, aggregated usage data helps us prioritise improvements.
• To comply with legal obligations. We retain records as required by South African tax and company law.

We do not sell, rent, or share your personal information with any third party for marketing purposes.

4. Document Data

Text and data you enter when generating documents is stored in your account so you can access and re-download your documents at any time. Your document data is not shared with other users and is not used to train any external AI model.

5. Data Sharing and Third Parties

We share personal information with third parties only in the following limited circumstances:

• Payment processors — to process subscription payments.
• Cloud infrastructure providers — our hosting providers process data under contractual data protection obligations.
• Email delivery services — to send transactional and marketing emails.
• Legal compliance — if required by law, court order, or a competent South African authority.

6. Data Retention

We retain your personal information for as long as your account is active. If you close your account, we will delete or anonymise your personal data within 30 days, unless longer retention is required by law. You may request deletion at any time by emailing support@alephsafe.co.za.

7. Data Security

We use TLS encryption for all data in transit, one-way hashing for passwords, and role-based access controls within our organisation. No method of electronic storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights Under POPIA

• Right of access — request a copy of the personal information we hold about you.
• Right to correction — request that inaccurate information be corrected.
• Right to deletion — request deletion of your data, subject to legal retention obligations.
• Right to object — object to processing for direct marketing at any time.
