2. Information We Collect

2.1 Account Information

• Full name and email address.
• Company name, job title, and industry sector.
• Password (stored in hashed, irreversible form).

2.2 Usage and Platform Data

• Documents generated within the platform, including your inputs and generated outputs.
• Log data: IP address, browser type, device type, pages visited, and session duration.
• Subscription tier and billing history. Payments are processed by a PCI-DSS compliant third-party payment provider and we do not store full card details.

2.3 Communications

• Messages you send to our support team.
• Feedback and survey responses, if you choose to provide them.

2.4 Cookies

We use essential cookies to maintain your session, and analytics and advertising cookies with your consent. See Section 9 for detail.

3. How We Use Your Information

• To provide the service. Your account data and document inputs are required to generate, store, and retrieve your compliance documents.
• To process payments. Billing information is required to manage your subscription.
• To send transactional communications. Receipts, password resets, and important service notices.
• To send product updates. With your consent, we may email you about new features and legislation updates. You may unsubscribe at any time.
• To improve the platform. Anonymised, aggregated usage data helps us prioritise improvements.
• To comply with legal obligations. We retain records as required by South African tax and company law.

We do not sell, rent, or share your personal information with any third party for marketing purposes.

4. Document Data

Text and data you enter when generating documents is stored in your account so you can access and re-download your documents at any time. Your document data is not shared with other users and is not used to train any external AI model.

5. Data Sharing and Third Parties

We share personal information with third parties only in the following limited circumstances:

• Paystack — processes subscription payments. Card details are entered on Paystack’s systems and are never stored by us.
• Supabase — hosts the application database under contractual data protection obligations.
• Aleph Technologies (Pty) Ltd — builds and maintains the platform on our behalf, and may access data only as required to operate and support it.
• Aleph Connect (Pty) Ltd — provides hosting infrastructure for the platform under the same data protection obligations.
• Brevo — delivers transactional and marketing email.
• Anthropic — provides the AI models that generate documents. Content sent for generation is not used to train their models.
• Legal compliance — if required by law, court order, or a competent South African authority.

5.1 Where your information is processed

Some of these providers process personal information outside South Africa. Our application database is hosted by Supabase in Ireland (EU), AI document generation is performed by Anthropic in the United States, and email delivery is handled by Brevo in the EU. Payment processing by Paystack takes place in South Africa.

Section 72 of POPIA permits these transfers because the recipients are bound by contractual data protection obligations that uphold a standard of protection substantially similar to POPIA, and because the transfer is necessary for the performance of our contract with you. The EU operates under the GDPR, which the Information Regulator recognises as providing an adequate level of protection.

6. Data Retention

We retain your personal information for as long as your account is active. If you close your account, we will delete or anonymise your personal data within 30 days, unless longer retention is required by law. You may request deletion at any time by emailing hello@alephsafe.co.za.

7. Data Security

We use TLS encryption for all data in transit, one-way hashing for passwords, and role-based access controls within our organisation. No method of electronic storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights Under POPIA

• Right of access — request a copy of the personal information we hold about you.
• Right to correction — request that inaccurate information be corrected.
• Right to deletion — request deletion of your data, subject to legal retention obligations.
• Right to object — object to processing for direct marketing at any time.
• Right to complain — lodge a complaint with the Information Regulator of South Africa at www.justice.gov.za/inforeg/.

9. Cookies

• Essential cookies — required for the platform to function. Cannot be disabled.
• Analytics cookies — placed only with your consent, used to understand and improve platform usage.
• Advertising cookies — placed only with your consent, set by Google Ads so we can measure which advertisements lead to a sign-up. They cover ad storage, ad user data and ad personalisation. Until you accept, Google receives only cookieless signals and no advertising cookie is set on your device.

You may withdraw consent at any time using the Cookie settings link in the footer of our website, or by clearing your browser cookies.

10. Children’s Privacy

Aleph Safe is designed for business use. We do not knowingly collect information from individuals under 18. If you believe a minor has provided us with personal information, contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email or a prominent notice on the platform before they take effect. The “Last updated” date at the top of this page reflects the most recent revision.
